Sharing knowledge on Online Application in Human Resource Management System Updated Features:
1. Payslip Online
This is the first feature in HRMS that really benefit to IIUM Staff. Staff can print their own payslip anywhere and when they need it. The Payslip Online, first implementation was on July 2007. Our strategy is to make the Pre-Payslip available for staff to view at least two or three days before the pay day. We received congratulations from academic and administrative staff on the Pre-Payslip and Payslip Online features. Thank you to all IIUM staff for your continuous support towards HRMS.
2. Attendance Online (Admin)
Admin Staff can use the Attendance Online by clicking to the IIUM Employee Self Service –> Enter Time Link, then click the TIME IN button. If staff forgot to punch in on that day, the staff can’t directly punch out (the TIME OUT button is dimmed). Staff need to punch in first (please add in comments) then only the staff can punch out. This is the feature that is only available in HRMS Attendance Online.
There are 2 reports that are related to attendance:
a. Time Entry Report (individual attendance report)
b. Attendance Report by KCD
3. Leave Online (Admin)
Staff can apply the leave online by clicking the IIUM Employee Self Service –> Apply Leave Link. Replacer approval needed only for Annual Leave and Substitutional leave. Please ensure your replacer approve your leave to enable your leave to be forwarded to your direct manager or supervisor. We have improve the application on Confirmed and Planned Leave (previously available in the appl.) to avoid problems while staff applying their leave. Now, there are only one level of approval. For the replacer or manager/supervisor please approve/reject the leave before the start date of leave. Late approvals wil result AWOL (Absent Without Leave) in the attendance report.
Cancellation of leave can be made by deleting (using the dusbin icon) the leave before the start date of leave but please ensure the status is approved then only you can do the process.
HR Liaison officers already appointed to take care on the attendance and leave for each designated K/C/D.
4. CLA Online
Responsibility to access the CLA Online is the CLA Self Service Learner. CLA Enrollment are available in the period given by the CLA Administrator through email announcement. If there’s an error when using the application please check your supervisor’s data and your supervisor supervisor’s data. Wrong supervisor data will provide error while reviewing your CLA enrollment. CLA results will be sent directly to the related staff through email notification.
5. Training Admin Online
IIUM Self-Service Learner in the responsibility given for staff to enroll Training Online. Staff are also given specific duration to enroll their training. If there’s an error when using the application please check your supervisor’s data and your supervisor supervisor’s data. We are using the supervisory workflow for all the Online applications in HRMS.
6. Approval Online
Approval in HRMS is done online through the system. Staff can Approve by clicking the IIUM Employee Self Service –> Notification. We also have upgraded the approval usage directly to staff email, where staff can approve through email notification that they recieved. (No need to login to system). There are four buttons available, Supervisor can Approve - to approve the application, Delegate - to delegate to other person, Reject - to reject the application and Request Information - to request more information regarding the application.
6. EA Form
EA Form can be generated directly by entering the year in the provided field. (for Income Tax purposes)
