HRMS Training at ISTAC

Program Name: Training on HRMS: Enroll Training, Leave, Attendance and HR Liaison Officer processes at ISTAC

Date: 21/December/2009

Venue: Computer Lab, IIUM ISTAC Damansara Campus

This program was requested by En. Syamsul for their staff to fully system usage ISTAC.

This is due to positive responds and feedbacks from users when MSD initiated the Special Program with HR Liaison Officer dated 9th of December at the Mini Auditorium recently.

Invited Trainers are: Sr. Shahidah Mahbob (Organizational Development Unit)

and Sr. Azlein Abdul Rashid. (HR Competency and Training Development Unit)

Hi all,

Last year it was at Jogjakarta, my hubby suprised me with the delicious fruit cake. We celebarated the birthday with family; Mas Donny, Embak Har, Bude and other small nephews that i can’t remember their names. It was really joy and wonderfull.

Alhamdulillah, today.. i just take one day break, to rest from work after being busy with new Golden Handshake Application online and other new setups done in HRMS recently.

Syukur to Allah s.w.t for still giving me strength and importantly the nur and hidayah for me to solve error, problems and all the difficulty recieved. Thank you to all friends and colleagues that send the birthday wishes to me via email, sms and portal. Thank you again to En.Wan Hilmi-ED MSD, Emy, Anis-Lib, Mama Ani, Kak Nora, Kak Sa’i, Amin-CFS,Kak Roslina, Nita-Pro, Yusnita, Raiza, Cik L, Yati,Kak Es, Syikin-Oshu, Aqmar-Library, Zemy, Masthuhah, Khalid, Jalilah and others that do not forget to wish me today expecially to my habibi Ariffin and my children; Nur Sabrina, Irfan Farhan, Irfan Faris and of course my little Angel-Nur Shahira.

Alhamdulillah syukur to Allah SWT, the IIUM HR Liaison Training & Appreciation Ceremony

manage to be conducted successfully on the 19th of November 2009 at De Palma Hotel, Ampang.

All their contributions and efforts to support the HRMS in the early stage are being appreciated. We took the initiative to get sponsorship from Oracle,IKCM and Dea-Tech. Those who came walked away with a goody bag which include a sponsored t-shirt.

During the event, all participants were informed on new system development as well as future enhancements that are planned for IIUM HRMS system. We got a lot of good feedback from them on the current system as well as a few ideas on the future enhancements. Participants  were also very participative during the Q&A session after each session. At the end of the course participants, in groups, made a presentation of their understanding during the course. Hampers are given to the top 3 best presentations. Congratulation to the winners. 

Participants are feted with sumptuous food during breaks. I think everyone enjoyed the dishes provided by DePalma hotel. Before the each break we held a lucky draw session, with gift ranger from voucher to electrical items. Again congratulations to the winners.

All in all, without the assistance of the committee members, support and commitment from MSD Top Management, sponsors and the participants’ support  this event would not has been a success. Kudos to all. Thank you very much…….



Leave/Absence Workflow

How…?

Staff Apply –> Create New Absence –> Fill in Start Date and End Date –> Type in Replacer Name (Click at the torchligt icon(LOV-names)-Select Name –> Type in Comments if any –> Click the Submit Button

Leave Workflow for Absence/Leave Type: Annual/Substitutional Leave

Leave Application –> Send to Replacer –> Replacer Approve/ Reject –> If Approve –> Send to Manager/ Supervisor —> Manager/ Supervisor Approve –> Leave will be deducted during the day/s of the leave taken.

If Reject –> Leave will not be deducted

Staff, Replacer and Manager will received email notification from each action on the workflow processes. (Please ensure your IIU mailbox is not Full)

Supervisor / Manager approver needed to ensure the final status as Approved. (for the approved leave)

If the status still Pending Approval, this means either your replacer or the manager still yet to approve the application. You can know the status when you receive the email notification.. it will show to you who have done the action.(Again, please make sure your mailbox is not Full)

Manager / Supervisor that are on leave/absence can delegate the application to the person that on covering assignment during that period by clicking on the Delegate button, and choose the preferred name. The application will then be forwarded to the person that you assign to.

Please be reminded that the System Administrator cannot edit/delete/manipulate the leave application if the status is still Pending Approval, users have to ensure the processes are inline and completed as the above workflow. This is the feature of the workflow process in the system. Failed to approve before the date of leave taken will result ‘Pending Approval’ status in the Leave app. and ’AWOL’ status in your attendance.

Sharing knowledge on Online Application in Human Resource Management System Updated Features:
1. Payslip Online

This is the first feature in HRMS that really benefit to IIUM Staff. Staff can print their own payslip anywhere and when they need it. The Payslip Online, first implementation was on July 2007. Our strategy is to make the Pre-Payslip available for staff to view at least two or three days before the pay day.  We received congratulations from academic and administrative staff on the Pre-Payslip and Payslip Online features. Thank you to all IIUM staff for your continuous support towards HRMS.

2. Attendance Online (Admin)

Admin Staff can use the Attendance Online by clicking to the IIUM Employee Self Service –> Enter Time Link, then click the TIME IN button. If staff forgot to punch in on that day, the staff can’t directly punch out (the TIME OUT button is dimmed). Staff need to punch in first (please add in comments) then only the staff can punch out. This is the feature that is only available in HRMS Attendance Online.

There are 2 reports that are related to attendance:

a. Time Entry Report (individual attendance report)

b. Attendance Report by KCD
3. Leave Online (Admin)

Staff can apply the leave online by clicking the IIUM Employee Self Service –> Apply Leave Link. Replacer approval needed only for Annual Leave and Substitutional leave. Please ensure your replacer approve your leave to enable your leave to be forwarded to your direct manager or supervisor. We have improve the application on Confirmed and Planned Leave (previously available in the appl.) to avoid problems while staff applying their leave. Now, there are only one level of approval. For the replacer or manager/supervisor please approve/reject the leave before the start date of leave. Late approvals wil result AWOL (Absent Without Leave) in the attendance report.

Cancellation of leave can be made by deleting (using the dusbin icon) the leave before the start date of leave but please ensure the status is approved then only you can do the process.

HR Liaison officers already appointed to take care on the attendance and leave for each designated K/C/D.

4. CLA Online

Responsibility to access the CLA Online is the CLA Self Service Learner. CLA Enrollment are available in the period given by the CLA Administrator through email announcement. If there’s an error when using the application please check your supervisor’s data and your supervisor supervisor’s data. Wrong supervisor data will provide error while reviewing your CLA enrollment. CLA results will be sent directly to the related staff through email notification.

5. Training Admin Online

IIUM Self-Service Learner in the responsibility given for staff to enroll Training Online. Staff are also given specific duration to enroll their training.  If there’s an error when using the application please check your supervisor’s data and your supervisor supervisor’s data. We are using the supervisory workflow for all the Online applications in HRMS.
6. Approval Online

Approval in HRMS is done online through the system. Staff can Approve by clicking the IIUM Employee Self Service –> Notification. We also have upgraded the approval usage directly to staff email, where staff can approve through  email notification that they recieved. (No need to login to system). There are four buttons available, Supervisor can Approve - to approve the application, Delegate - to delegate to other person, Reject - to reject the application and Request Information - to request more information regarding the application.
6. EA Form

EA Form can be generated directly by entering the year in the provided field. (for Income Tax purposes)
